Who do I call if something goes wrong with my campus phone?
To report a problem with your campus phone, go to http://telecom.utoledo.edu/Telecom_Forms.asp and fill in the appropriate Telephone Form or call Rocket Telecom at x4801.

What phone numbers have changed now that the University has made the transition to the new phone system?
Administrative, faculty and staff phone numbers remain the same as before. However, student residence rooms now have a new phone exchange with numbers beginning with 676 instead of 530. This change is due to the 530 exchange running out of numbers. The addition of the new exchange will allow the University to meet future needs for numbers.

Do I need to dial more than five digits for on-campus calls?
No, On-campus calls are four-digit dial to administrative, faculty and staff phones. Calls to students in residence halls are five-digit dial for example 6-xxxx.  University Hills Apartments are also five-digit dial. 

How about calls to and from the Health Science Campus?
If you are at a phone on the Main Campus and want to dial the Health Science Campus, you just need to dial 68 and the last four digits of the Health Science campus phone number. If you are on the Health Science Campus and want to dial the Main Campus, you just dial 21 and the last four digits of the Main Campus phone number.

Dialing off-campus, either local or long distance?
The number to dial to place an off-campus call is "9". Area code must now be dialed for all off-campus calls, due to required 10-digit dialing for all local calls and 11-digit dialing ("1" + area code + seven-digit number) for all long-distance calls.

My calls are going directly to voice mail. How do I prevent that?
This feature can be enabled or disabled using the Forward All feature code.
Enable (send all calls to voice mail) - Pick up the receiver and dial * 1 6060 . Hang up after hearing the confirmation tone.
Disable (do not send all calls to voice mail) - Pick up the receiver and dial # 1. Hang up after hearing the confirmation tone.

Can faculty and staff purchase a phone for their campus office from somewhere other than the University?
No. All phones in campus offices must be purchased from Rocket Telecom to guarantee reliability and compatibility with the new switch. Purchasing your phone through us also provides you service protection, we will repair or replace your phone at no cost. Rocket Telecom will not repair non-University issued phones.

Can faculty and staff get a cell phone rather than a desk phone?
No. There are public safety requirements that are met with desk phones that are not met with cell phones.

What cordless phone and cordless headset options exist?

Are special phones available for people with hearing and/or speech problems?
The new digital phones have volume control through the handset, and speakerphones are standard. Amplifiers are also available for more information call Rocket Telecom at 4801.

Can I get call waiting? Call waiting is not available.

How about call blocking? Automatic callback?
Call blocking isn't available, but automatic callback (to an extension that had been busy at the time of the initial call) is among the features provided. To read how to activate click here and choose your telephone and look for the Call Back Feature http://telecom.utoledo.edu/Telecom_Manuals.asp.

What options does a department have for call routing and distribution?
The University phone system has several options for this:
Call coverage - where the call goes if you do not answer or Forward All is active; coverage typically is Voicemail, but you can cover to another station, or a series of stations.
Call pickup - allows certain stations to pick up other stations.
Autoattendant - plays a recorded message with numbered options that prompt the caller to choose who or which section of a department that the caller wants to talk to.
Call center - an advanced option that allows the call to be processed and routed based on programming. Different programming allows time of day, number of calls waiting, number of available call takers, and other call routing criteria. Call centers can keep several calls on hold until a person in that area becomes available to take the call while playing announcements and hold music. Records of all calls are kept for statistical purposes. These features are all programmable by Rocket Telecom, if you have questions call 4805 for more information.

How do I change the name(s) I recorded on my initial voicemail login?
Dial into the voicemail system. From the main menu choose U for User Options (the 8 key). From the next set of options, press N to Change your name (the 6 key) to record your name.

How many days do my messages stay on the voicemail system?
Messages stay in the system for 14 days.

Can I get my messages from any location or do I need to be at my extension on campus?You can get messages from anywhere in the world as long as you are using a touch-tone phone. Dial into the Voice Mail system from an on campus phone at 6060, use the prefix '419-530' for local calls (ex. 419-530-6060) or '1-419-53' for long distance calls (ex.1-419-530-6060). When you hear the prompt "press the * key and your extension number", listen for the "enter your passcode prompt",
enter your passcode and voice mail will operate just like it does at your office. If you hear your greeting, press the 8 key and wait for the passcode prompts.

When do calls go to voicemail? If your phone is not answered within 4 rings, the call will transfer to voicemail. Or, if you are on the phone when someone calls, your voicemail will automatically answer. These features are forward no answer and forward busy, they are a feature of the telephone and you must set these forwarding features so that your calls route to the voice mail system. What does "Contact your system administrator" mean? This means your voicemail box has been locked and you need to dial 419-530-4805 and put in a request to have your voicemail box unlocked. You will be emailed or called when it has been unlocked. A voicemail box is locked when someone tries to access the system more than 3 times with the wrong password.

What does the option M "To Make a Message" really do? This option is often mistaken as the one to use to record a greeting. What it really does is "Send" a message through the voicemail system to one or more people without actually ringing their phone. This feature can be useful in several situations. For example you can also send a message to yourself as a reminder of an appointment. If you are on a committee this is a great way to contact other committee members. Need help? How do I know I have new voicemail messages? The light in the upper right hand corner of the D-Term and Cortelco telephones will turn red. Standard telephones will have a stuttered dial tone when the handset is picked up.

Why do I have to press X to exit the system. This will insure that you are disconnected from the voicemail system. It is just a good habit to just press X when you are done. The system with respond with "Goodbye" and you will no you are disconnected.

Can I retrieve a voicemail message I deleted? If you have listened to a message and accidentally pressed D to delete it, you can undelete it only if you press the * key immediately after the Delete command. Otherwise it cannot be retrieved.

What if I forget my Voice Mail passcode? If you forget your passcode or experience problems with your voicemail, contact Mary Kurtz at 419-530-6060or via e-mail by filling out the Voice Mail Form. http://telecom.utoledo.edu/Telecom_Forms.asp

Having Voice Mail answer your calls is a function of your telephone.  Use the forwarding features
as the instrument to route your calls to the Voice Mail System.  If you want voice mail to answer your calls use the forwarding features below to accomplish this.

The following is a description of how the features work, and how to activate them:

The Forward All feature allows the telephone user to forward all calls to Voice Mail or to an
appropriate extension.  If you set this feature your telephone will not ring, all calls will immediately
be routed to that designated extension. I use this feature when I am on vacation, out of town or when I have a meeting in my office.

To Activate this feature:

  • Pick up the handset: listen for the dial tone.  
  • Dial *1 and listen for the Special Dial Tone. 
  • Dial the desired extension number (Voice Mail is 6060) to which you wish your calls forwarded.  Listen for the Steady Set Tone.

To cancel Forward All:

  • Dial cancel code #1.

The Forward Busy feature permits calls to a busy telephone extension to be immediately forwarded to Voice Mail or another appropriate telephone extension.  If you set this feature your callers will not
get a busy signal when dialing your extension, all calls will immediately be routed to the number
your have designated.  This feature is really a personal choice, if you do not set it your callers will hear a busy signal and know you are in your office and they can set their Call Back feature. I leave this feature on all the time - I would rather my callers be able to leave me a voice mail message.

To Activate this feature:

  • Pick up the handset; listen for the dial tone. 
  • Dial *2 and listen for the Special Dial Tone. 
  • Dial the desired extension number (Voice Mail is 6060) to which you wish your calls forwarded.  Listen for the Steady Set Tone.

To cancel Forward Busy:

  • Dial cancel code #2.

The Forward No Answer feature permits calls to an unattended extension to be forwarded to Voice Mail or to an appropriate extension after a programmed ringing interval.  If you set this feature your telephone will ring 4-5 times at your desk, if you do not pick up the handset your call will be routed to the extension you have designated. I leave this feature on all the time as well, otherwise my phone would just ring and never send callers to the voice mail system.

To Activate this feature:

  • Pick up the handset; listen for dial tone. 
  • Dial *8 and listen for the Special Dial Tone. 
  • Dial the desired extension number (Voice Mail is 6060) to which you wish your calls forwarded.  Listen for the Steady Set Tone.

To cancel Forward No Answer:

  • Dial cancel code #8.

NOTE:  6060 is the Voice Mail extension, you may forward you calls to any appropriate campus extension.  All previous call forwarding must be canceled before you can program Voice Mail to
answer your calls.  You may also use more than one feature, for instance Forward Busy and
Forward No Answer would answer your calls if you were on the line or away from your desk.
