Resident Advisors and Greek Managers Voice Mail

Request Voice Mail Service or Report Voice Mail Trouble

The first time you enter your mailbox, the User Tutorial will be activated automatically. From your
phone dial 6060 and follow the User Tutorial prompts.  The New User Tutorial will "talk you through"
your first voice mail session, including setting up your mailbox with a personalized greeting,
recording your name and creating a passcode.  Before beginning the system tutorial think of a
passcode you will remember (passcodes are 4-10 digits in length) and prepare a personal greeting
you wish your callers to hear. *Note you must complete the tutorial from beginning to end or your permanent pass code will not register and you will have to repeat the tutorial.

Entering your Mailbox:
From your phone:

  • Dial 6060.
  • Enter your passcode when prompted.

From another campus phone with Voice Mail:

  • Dial 6060.
  • Press the star (*) key.
  • Enter your mailbox number (usually the last five digits of your telephone number.)
  • Press the star (*) again.
  • Enter your pass code when prompted.

From another campus phone without Voice Mail:

  • Dial 6060.
  • Listen for the "Welcome to the Message Center" prompt.
  • Press the star (*) key.
  • Enter your mailbox number (usually the last five digits of your telephone number.)
  • Enter your pass code when prompted.

From off-campus:

  • Dial 419.530.6060.
  • Press the star (*) key.
  • Enter your mailbox number.
  • Enter your pass code. 

Retrieve Messages:

  • Dial 6060.
  • Listen for the prompt of how many messages you have.
  • Press P (the 7 key) to play the first message.
  • While listening to the messages, playback can be controlled by:
    • Press 1 to pause the message for 30 seconds.
    • Press the star (*) key to move message back five seconds.
    • Press the pound (#) key to move message forward five seconds.
    • Press 8 to skip (and save) the message and move on to the next new message.
  • When the message has finished playing, several options are given:
    • Press A (the 2 key) to Answer the message.
    • Press G (the 4 key) to Give the message to another voice mail user.
    • Press K (the 5 key) to Keep the message.
    • Press D (the 3 key) to Discard the message.
    • Press M (the 6 key) to Make a new message.

Answer/Give a Voice Mail Message to another User:
Dialing A (the 2 key) to Answer or G (the 4 key) to Give your message to other users will automatically bring up the Record Menu.  The Record Menu allows you to attach your comments to
any message that you Answer or Give.  Answered messages always go back to the originator of the message your are answering, while Given messages can be sent to any other voice mail user or any distribution list.  Note:  If another user recorded a message for you and marked it "Confidential", pressing G (the 4 key) to Give it to other users will yield the following audio prompt:  "You can not
give a confidential message to other users."

To record a message after dialing A (the 2 key) to Answer or G (the 4 key) to Give the message to other Voice Mail users:

  • Listen for the prompt and enter the intended individuals mailbox number, you will not hear this prompt when you "Answer" a message.
  • Press the pound (#) key to begin recording any comments you wish to include
  • Press X (the 9 key) when finished recording to send the message.
  • Listen for confirmation of the sent message.
  • Wait for the voice mail system to give you additional message handling prompts.
  • After Answering or Giving a message, you still need to decide whether to keep or discard the original message.

Silent Prompts or Helpful tips:
Options available anytime a message is playing:

  • Press the star key (*) to move the message back 5 seconds.
  • Press the pound key (#) to move the message forward 5 seconds.
  • Press the 1 key to pause the message 30 seconds, press any key to resume.
  • Press the 2 key to bypass a voice mailbox greeting.

Making a Message:
Voice mail allows you to Make (record) messages for other mailbox owners without having to call
them on the phone.  When you Make a message, your mailbox name (spoken in your own voice) will appear in the message header.
To Make a do the following:

  • Enter your mailbox by dialing 6060.
  • Enter your passcode when prompted.
  • Press M (the 6 key) to Make a Message.
  • Listen for the prompt to enter the intended mailbox number (most mailbox numbers are the
    last four digits of our on campus telephone numbers) .
  • Press the pound key (#) to begin recording. After recording press the pound (#) again to
    hear the following options:
    • Press R (the 7 key) to Review the message.
    • Press D (the 3 key) to Discard and record the message over.
    • Press A (the 2 key) to Append your message.
    • Press M (the 6 key) to Access message addressing options.
  • Press X (the 9 key) to send the message.

Making a Message with One or More Addressing Options:

  • Follow the instructions to Making a Message.
  • Press M (the 6 key) to access the Message Addressing options menu
  • Listen for the following options:
    • Press C (the 2 key) to mark your message Confidential. Recipient can listen to and Answer your message, but cannot Give it to another user.
    • Press R (the 7 key) to request a return Receipt. Voice mail will notify you when the recipient (or recipients) plays back your message.
    • Press U (the 8 key) to mark your message Urgent. Your message will go to the top of
      the recipient's normal message queue, but after any other urgent messages he or she may have already received. Since most users do not send urgent messages, using this option pretty much ensures that your message will be first in line.
    • Press F (the 3 key) to mark your message for Future delivery. Your message will be delivered at a future time specified by you. Messages can be sent up to 60 days into
      the future. Follow the prompts to correctly enter desired delivery date.
  • All four Message Addressing Options listed above can be used either by themselves or in conjunction with one another. In other words, you could (if you really wanted to) send a
    message to another voice mail subscriber (or group of subscribers), mark that message as Urgent, also mark it as Confidential, request a return Receipt, and schedule it for a Future delivery date. All that on one message!
  • After you have selected the options you want for the message, press X (the 9 key) to Exit to
    the previous menu.
  • You can then choose to:
    • Press R (the 7 key) to Review your message prior to sending it out.
    • Press D (the 3 key) to Discard your message.
    • Press A (the 2 key) to Append any additional comments to the message.
    • Press M (the 6 key) to return to the Message Addressing options menu.
  • Press X (the 9 key) to send your message and Exit to the Main Menu.

Zero-Out Option:

"Voice Mail Jail" is a term used to describe a situation when a caller is routed to a voice mailbox
(either automatically or transferred by another person) and is then forced to either leave a message
or hang up and call back to another number.

To help eliminate "voice mail jail" we can offer callers the option of dialing 0 to transfer out to a live person instead of leaving a message. This transfer number must be programmed by Rocket Telecom. The only number that will be allowed to be a Resident Advisor or House Managers "Zero Out" is the front desk of the Resident Hall or Greek House where you reside.

If this feature has been activated on your mailbox, you will need to be sure to record instructions to callers in your greeting so that they are aware of the option, for example: "Hi, this is Rocky Rocket,
I'm not presently available to take your call. Please leave a message or to be transferred to the front desk, press zero now." 

Voice Mail User Options:

User Options allow voice mail subscribers to customize their mailboxes to suit their individual needs.

Record Mailbox Name

  • Dial 6060 and enter your passcode when prompted.
  • Press U (the 8 key) to access the User options menu.
  • Listen for prompt, press M (the 6 key) to Modify the mailbox name.
  • Listen for prompt, press R (the 7 key) to Record your mailbox name or:
    • Press L (the 5 key) to Listen to your name.
    • Press R (the 7 key) to Record to your name.
    • Press X (the 9 key) to Exit from User Options and return to the main menu.
  • Listen for a prompt and speak your name.
  • Press X (the 9 key) when finished to Exit to the main menu.

Change Password

  • Dial 6060 and enter your passcode when prompted.
  • Press U (the 8 key) to access the User Options menu.
  • Listen for prompt, press P (the 7 key) to change the mailbox Passcode.
  • Listen for a prompt and enter a new passcode (passcodes are 4 to 10 digits)
  • Wait for voice mail system to repeat your new passcode.
  • Voice mail will then return to the main menu.

Be sure to wait for voice mail to repeat your passcode back to you. You may have misdialed the passcode you intended to enter.

Rocket Telecom has no way to access personal passcodes. If you forget or lose a passcode, your mailbox will have to be reset.

Record a Greeting

  • Dial 6060 and enter your passcode when prompted.
  • Press U (the 8 key) to access the User Options menu.
  • Listen for a prompt and select option.
  • Press G (the 4 key) for Greetings.
  • Press P (the 7 key) to modify the Primary greeting.
  • Press R (the 7 key) to Record the greeting.
  • Listen for a prompt and begin recording.
  • Press X (the 9 key) when finished to Exit to the main menu.

Record Conditional Greeting: Must be programmed by Rocket Telecom
This is an enhanced voice mail feature which must be programmed by Rocket Telecom.  The cost for enhanced voice mail service is $00.25 per month, with a $3.00 one time charge. 

  • Dial 6060 and enter your passcode when prompted.
  • Press U (the 8 key) to access the User Options menu.
  • Listen for a prompt and select option.
  • Press G (the 4 key) for Greetings.
  • Press C (the 2 key) to modify the Conditional greetings.
  • Listen and choose from the following options:
    • Press B (the 2 key) to change the Busy greeting.
    • Press F (the 3 key) to change the Call Forward greeting.
    • Press N (the 6 key) to change the No Answer greeting.
  • Listen for the following options:
    • Press L (the 5 key) to Listen to the greeting.
    • Press R (the 7 key) to Record the greeting.
    • Press X (the 9 key) to Exit from User Options and return to main menu.
  • Press R (the 7 key) to Record the greeting.
  • Listen for a prompt.
  • Speak the greeting.
  • Press X (the 9 key) when finished.
  • Listen for voice mail to confirm that the greeting has been changed.
  • You must enable your greeting.

Enabling Greetings:

  • Dial 6060 and enter your passcode when prompted.
  • Press U (the 8 key) to access the User Options menu.
  • Listen for a prompt to select an option.
  • Press G (the 4 key) for Greetings.
  • Listen for voice mail to say which greeting is currently enabled and to prompt you to select an option.
  • Press E (the 3 key) to Enable other greetings.
  • Listen for the following:
    • Press C (the 2 key) to enable the Conditional greetings.
    • Press G (the 4 key) to enable the General greetings.
    • Press P (the 7 key) to enable the Primary greetings.
    • Press X (the 9 key) to Exit from User Options and return to the main menu.
  • Listen to the voice mail system for which greeting the callers will hear.
  • Press X, the 9 key, to Exit from the User Options and return to the main menu.

Call Scheduling: 
This is an enhanced voice mail feature which must be programmed by Rocket Telecom.  The cost for enhanced voice mail service is $00.25 per month, with a $3.00 one time charge.  Call x4805 for more information.

Voice Mail Distribution Lists:

Distribution Lists can be used to Make or Give messages to more than one mailbox. Lists can be used in conjunction with one another, or with other additional mailbox numbers. Every voice mail subscriber
can program up to twenty personal distribution lists (01 through 020) with up to 200 mailbox numbers allowed per list.  You may also e-mail your list to mary.kurtz@utoledo.edu who will create the list for
you free of charge.

  • Dial 6060 and enter your passcode when prompted.
  • Press U (the 8 key) to access the User Options menu.
  • Listen for a prompt.
  • Press L (the 5 key) to create or modify a distribution List.
  • Listen for a prompt to enter a distribution list number.
  • Dial a distribution list number (01-020).
  • Select one of the following options to modify the distribution list:
    • Press A (the 2 key) to Add a mailbox number to your list.
    • Press D (the 3 key) to Drop a mailbox number from your list.
    • Press N (the 6 key) to Name or rename your list.
    • Press P (the 7 key) to Play your list.
    • Press X (the 9 key) to Exit from user options and return to the main menu.
